I was interning in the company IIDEAS Pte Ltd back in 2025 July to September. It was a 10 weeks internship and was tasked to be involved in The Car Expo 2025 2nd Edition project.
Being involved in this project, I manage to witness the entire process of how The Car Expo 2025 went. We worked together with SPH Media to organise and manage the entire process of the event.
Starting from the planning phase, I attended all the meetings with our client, SPH media to discuss on the floor plans and how we would want to communicate with the exhibitors on the behalf of SPH Media. The company I was working for provided advices on how we can help to adjust certain floor plan to ensure that all the request was met. Well, for me as an intern. I was tasked to communicate with the exhibitors and provide them with support on their concerns throughout the project journey. I started off by collecting the contact details from our exhibitors to ensure that there smooth communication throughout the project. Upon receiving the contact details from the exhibitors, we have to work with them to manage their booth floor plans, based on our client's (SPH Media) requirements we have ensure that it does not exceed the requirements given. I was also tasked to ensure that the payment from exhibitors were on track and no misaligned payments made.
Fast forward to the set up days, it was more on the operational side compared to administrative. I was tasked to ensure that all floor plans were followed accordingly to what was sent for approval. I coordinated logistics such as booth construction, electrical layouts and branding installations ensuring everything is aligned with the event's requirements and safety standards. This phase is extremely crucial and it demanded strict supervision on-site, quick problem-solving and adaptability when facing unforeseen circumstances.
During event days, it was more of during our rounds to check whether any exhibitors have crossed certain boundaries and if there were any thing they needed our help with. I would then provide them with logistic support to address the problems they face. Lastly is to overlook the exhibitions to ensure that there is everything is going smoothly. During this phase it demanded quick problem-solving skills as unforeseen problems can come at the most random time and I will have to calmly address the problem with the team and the exhibitors.
Lastly the teardown phase, it is the last and final phase of the project and it is equally crucial compared to other phases. As it requires efficient coordination to ensure smooth and timely dismantling while ensuring zero injuries and disruption to venues. I worked closely with exhibitors, vendors and the team to ensure it happens efficiently.
Overall, this project has provided me insights on how a large-scale event looks like. It has also provided me with the many skill sets like problem-solving, adaptability, patience and how to deal with unforeseen circumstances calmly.
